Employment 104 Record Keeping

So you have recruited successfully, you have employed and now the engagement of your new workers begins-

You will need a roster, time-sheets, payslips and a bank account to run this all through and possibly advice from an accountant or book keeper.

Allow workers time for orientation to the workplace, consider a buddy shift for new workers with someone who is experienced, if your budget will support it.

Make sure to instruct or direct workers clearly, sometimes having a task guide or procedure manual can help, especially if you’re dealing with specialist support, high needs or non verbal people. A task checklist or daily log book workers can sign off on, supports those following with a point of reference and can alert to any important occurrence throughout a shift also.

You might have to engage in staff training  particularly within high needs situations where a lot is needed to be known about any one individual and their requirements. A Manual Handling guide can be supportive for those with mobility issues also.

At agreed intervals you will need to review workers functioning, progress and compliance using a set of established criterior’s and a Worker Performance Appraisal Form this would involve a discussion and be signed off on before filing.

Should a work place injury or medical support be required an Emergency Medical  Report  would need to be completed and /or an Incident Report. You may need to create a Return to Work Plan after a significant injury also.

Complaint Forms are for dealing with safety, discrimination or harassment issues should a discussion fail to produce an effective outcome. Follow up responses to a complaint would be on a Complaint Response Form. 

For management, review of safety matters should be completed at appropriate intervals and records kept as an evaluation report.

Should the need arise human resources should have an Evacuation Form available, in this event an Incident Report Form would also be recorded.

Dismissal matters are a staged process of warnings as detailed in your policy and procedures and recorded on an Worker Termination Record. When there is cause for dismissal or on the spot dismissal occurs a Letter of Dismissal would be given and an Worker Termination Record kept with related personal records.

These are documents that support each of these issues and they are kept as Human Resource records, either in an individuals personal file or some other system which would keep safe and offer access as required.
